Text, email or phone? The best way to reach new leads

October 1, 2026 · 5 min read

When a new lead comes in, most owners default to whatever they're used to. Some call, some email, some text from their personal phone. Each channel has a job, and using the right one first makes a real difference in how many people reply.

Phone calls: great when they connect

A live conversation builds trust faster than anything else. The problem is getting one. Many people don't pick up calls from numbers they don't know, and voicemails often go unheard.

Calls work best once the person expects you: a scheduled consult, a callback they asked for, or a big quote that needs explaining.

Email: good for details, slow for replies

Email is the right place for a proposal, a contract or anything people want to read twice. It's also where messages get buried. A lot of people check email a few times a day, and promotions tabs swallow plenty of business mail.

Text: the fastest way to start a conversation

People read texts quickly, often within minutes, and replying takes a few seconds. For a first touch with a new lead, a short, friendly text usually gets a faster answer than anything else.

Two cautions. First, business texting has rules: people need to have reached out or given consent, and they must be able to opt out. Second, unregistered business numbers increasingly get filtered by carriers, so your number should be registered (in the US that's called A2P 10DLC).

How to use all three together

  1. Text first to confirm the request and ask one easy question.
  2. Email the details at the same time: pricing, what's included, photos.
  3. Call when they're warm, or when they ask for it.
  4. Follow up by text if they go quiet, and stop the moment they reply.

Keep it in one thread

The messiest setups are the ones where texts live on someone's personal phone, emails live in a shared inbox and nobody knows who called whom. Whatever you use, keep every conversation with a lead in one place your team can see.

That's how Jason works: an AI text message sales assistant that texts first, emails alongside and keeps every thread in your CRM, with a registered business number we set up for you.

Text-first, with email alongside
